Administrative Assistant

Onyx Renewable Partners L.P. is seeking an Administrative Assistant to join our growing and dynamic team in our New York Headquarters Office. The Administrative Assistant is responsible for a broad variety of administrative tasks including managing calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Responsible for arranging internal office moves and providing arrangements for office meetings.

Main Job Tasks and Responsibilities

  • Plans, coordinates and ensures schedules are followed and respected for any executive staff member upon request

  • Act as the point of contact between the executive and internal/external clients

  • Back up to Office Administrator/FrontDesk

  • Monitor incoming emails and answer or forward as required along

  • Undertake the tasks of receiving calls, take messages and routing correspondence

  • Handle executives’ and HR requests and queries appropriately

  • Fax, scan and copy documents

  • Update and maintain databases such as mailing lists, contact lists and client information

  • Retrieve information when requested

  • Perform work related errands

  • Participate as needed in special department projects.

  • Plans, coordinates and ensures schedules are followed and respected

  • Research, prioritize, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.

  • Provide a bridge for smooth communication between the executives and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.

  • Work closely and effectively with the Director of HR and executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping them updated.

  • Successfully complete critical aspects of deliverables with a hands-on approach.

  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

The position is based at the Company’s headquarters in New York City. The person taking this position will need to be able to work from the office 5 days a week.
